A university runs multiple application cycles for the same program and intake. For example, Many Japanese universities run multiple application cycles within the same academic year for the same intake date (e.g., Cycle 1, Cycle 2, and Cycle 3).
A student wants to apply to different courses (programs) at the same university.
The platform allows only one application per university and program per academic year. This means:
If you need to apply to the same program across multiple cycles, a workaround is required.
If you need to apply to different programs, you can simply add separate applications with different course selections.
The way this works depends the portal you are using.

Adding Multiple Applications for Different Cycles (Same Program)
For universities that offer multiple intake cycles for the same program (common with Japanese universities), you can track each cycle by creating custom course names.
This workaround is available for Applications under Other portals.
Steps:
Navigate to Applications from the left-hand menu.
Click Add Application and search for the university.
To differentiate each cycle, create a custom course name (by filling out the course name and clicking on the "+Add" button), such as
Faculty of Liberal Arts (Cycle 1)Faculty of Liberal Arts (Cycle 2)Faculty of Liberal Arts (Cycle 3)
Complete and submit the application as normal.
Each application will be treated separately, allowing you to track different deadlines and maintain accurate reporting.
Adding Multiple Applications for Different Courses
If the student is applying to different programs at the same university (e.g., Law and Business), no workaround is needed. The system sees each program as a separate entry.
This works normally for UK DA, Direct Apply, UCAS, and Other portals.
Steps:
Click Add Application and search for the university.
Select the first course and add the application.
Click Add Application again, choose the university, and select the second (different) course.
Add the application as usual.
Special Case: Common App
On the Common App portal, you cannot have multiple applications for the same university and program. The platform restricts it to one per academic year. If two applications are added for the same university (even with different course names), you will see the following warning on both applications:
“The data for this application cannot be synced as we’ve detected multiple applications linked to this university. Please remove one of the applications to proceed.”
How to fix a Common App duplicate
To resolve the duplicate issue for Common App, please follow the steps below:
Locate the duplicate application.
Click the three-dot icon on the right side of the application.
Choose Delete application to remove the extra entry.
After deleting the duplicate, the remaining application will sync normally.
Notes: This warning message may also appear if the duplicate university is on the student's Shortlist or Longlist. To resolve this, go to the Bookmarks and delete the university from the Shortlist or Longlist.
