Prepare and Send a Final Report & Final Transcript

Step-by-step guide to uploading, preparing, and sending Final Reports and Final Transcripts via Common App and Parchment in cDocs.

Counselors can send Final Reports and Final Transcripts to Common App and Parchment accepting institutions through Cialfo. A Final Report/Transcript summarizes a student's high school academic courses and grades and typically indicates the student's graduation status. This is the last form and transcript a high school sends to a college or university.

What You Will Need

Before sending documents, make sure the following are ready:

  • Common App schools — Both the Final Transcript and the Common App Final Year Report.

  • Parchment schools — Only the Final Transcript.

Step 1: Upload the Final Transcript

Counselors can upload only one transcript as a Final Transcript per student. Similar to how initial transcripts and mid-year transcripts are uploaded, you can either bulk upload transcripts or upload them individually. Files must be in PDF format.

To upload, go to the student's cDocs profile > Documents tab and search for "Transcript - Final" under the Final Documents section.

Drop the PDF transcript into the blue box:

Once uploaded, a blue tick will appear next to the document:

Step 2: Prepare the Common App Final Report Form

This step is required only for Common App schools.

To send a Final Transcript via Common App, you must also prepare a Common App Final Report Form. Click the Prepare button next to Common App Final Report under the Final Documents section.

Answer the questions in the report and click Save:

Once prepared, a blue tick will be shown:

Now that the documents and report are prepared and uploaded, you can proceed to send them from the Submission page.

Step 3a: Send the Final Transcript via Common App

Important: Unlike Initial and Mid-Year documents, Final Transcripts are sent to an individual college or university (not all). They are not Shared Documents.

  1. Go to the student's cDocs profile and scroll down to Common App Applications.

  2. Select the checkbox next to Final Year Transcript to attach the transcript to the Common App Final Report.

  3. When ready, click SEND.

Note: Once a Final Transcript has been sent, it cannot be sent again. Any corrections must be made directly with the college or university.

Enrolment Status Confirmation (Final Transcript Sending Workflow)

To help ensure Final Transcripts are sent to the correct university, the system now surfaces the student's final choice (enrolment status = "Deposit Paid") in two places:

  • cDocs Submissions page

  • cDocs Profile → Submissions tab

Scenario 1: Sending to the university marked "Deposit Paid"

No pop-up or confirmation will appear. The Final Transcript is sent as usual and the sending flow continues normally.

Scenario 2: Sending to a different university

A confirmation pop-up will appear with three options:

  • Confirm and send — Updates the enrolment status to the selected university and sends the Final Transcript.

  • Send anyway — Sends the Final Transcript without updating the enrolment status.

  • Cancel — Closes the pop-up and stops the sending flow.

Scenario 3: No enrolment decision recorded

If no enrolment decision has been recorded for the student, the same confirmation pop-up will appear asking the counselor to confirm whether this is the university the student is enrolling in. The same three options are available:

  • Confirm and send

  • Send anyway

  • Cancel

Step 3b: Send the Final Transcript via Parchment

  1. Go to the student's cDocs profile and find the school under the Parchment section.

  2. Click Send next to the Transcript - Final document.

Resetting Document Status (Parchment)

Once documents have been sent, they can be recalled using the Reset Doc Status option. There are two ways to reset documents:

1. Reset Doc Status (Bulk Reset)

Clicking Reset Doc Status resets all documents for the university to "Not Sent" in one go.

2. Reset Doc (Individual Application)

Navigate to the specific application and select Reset Doc Status to reset documents for that particular university application only.
