University Applications- Status, Decisions & Operational FAQs

Consolidated FAQ, covering recurring application-status and process questions raised by students and counsellors.

What does the "Pending Cialfo Choice Submission" status on UCAS applications mean?

This is an automatic system status that is triggered once a university offer has been updated or recorded. It does not indicate any outstanding action from Cialfo or the student; there is nothing pending on either side. No manual intervention is required for this status alone.

A student has a Conditional Offer. What happens next?

A conditional offer means the university has set specific conditions the student must meet (e.g., exam results or document submission) before an unconditional offer can be issued. Once the student fulfils those conditions, the university updates the decision and the application status moves to "Unconditional Offer." No separate action is needed from Ops beyond monitoring for the university's updated decision.

The UCAS decision shown in our system doesn't match what's on UCAS. How do we fix this?

If a UCAS decision hasn't synced correctly after the regular sync cycle, flag it with our Support team so they can check and correct it. We will provide an update once the issue has been resolved.

What does it mean if an application status shows as N/A?

An application should not normally show an "N/A" status. This can occasionally appear as a temporary system state right after a university or student decision has been updated. If you see an application stuck showing "N/A," please contact the Cialfo Support team so we can review and correct the status.

When does the next year's intake open on the platform (e.g., Cambridge or other universities showing only the current intake year)?

New intake years are typically opened on the platform in September. If a student cannot select a future intake year yet, this is expected. It will become available once the September update goes live.

What happens after a student's required documents (e.g., transcripts or English test results) are submitted to Cialfo?

Once required documents are submitted to Cialfo, they are submitted to the relevant university via Cialfo. For some universities (e.g., the University of Melbourne), the university may require the student's own university-issued credentials in addition to the submitted documents. These must be requested directly from the student.

How can a student change the UCAS account linked to their Cialfo account?

If a student wants to link an existing personal UCAS account (rather than the one originally set up for them through Cialfo), they will need to share their UCAS account login details with the Cialfo Support team, who will complete the linking on their behalf. For any other changes to the UCAS account linked to a Cialfo account, students should contact the Cialfo Support team for assistance, our team will review the request and help update the account linkage as needed.

Can I apply to UK conservatoire courses (for example, music or drama schools) through the platform?

Yes. Conservatoire applications are supported as their own application process, separate from your other UCAS course choices, so applying to a conservatoire does not count against your standard UCAS choice limit. To apply, submit your basic application details through the platform. Our team will review these and follow up with you and your counsellor directly if any further information is needed, including any required reference letter.

Important: If you're applying to a conservatoire in addition to other UCAS courses, you will have two separate UCAS IDs — one for your regular UCAS application and a separate one for your conservatoire application. Please share both IDs with your counsellor or the Cialfo Support team so each application can be linked and processed correctly.

Do students get an application fee waiver when applying to universities in Australia or New Zealand (ANZ)?

Students applying to ANZ universities receive a guaranteed application fee waiver for their first application. If a student needs a fee waiver for any additional application, they should contact the Cialfo Support team, who will review the request.

How do I check if a university is available through Direct Apply, and what if I can't find it in the list?

Not every university is available through Direct Apply. Availability depends on whether Cialfo has an active partnership in place for that institution. If you don't see a university listed under the name you'd expect or aren't sure whether Direct Apply is supported for it, please contact the Cialfo Support team to confirm.
