Conditional Offer Option in Applications (For Counselor)

What is a Conditional Offer?

A conditional offer is a type of university admission offer where a student is offered a place if they meet certain specified requirements. These requirements must typically be fulfilled before the university can confirm the student's admission. These conditions may include achieving a specific overall score, meeting subject-level grades, or fulfilling English language requirements.

Keeping track of these conditions is important. It helps counselors monitor a student's progress and confirm when the university's requirements have been successfully met.

⚠️ Update — March 2026: Condition category names have been updated across the platform and in reports. See the updated names below. Additionally, from March 2026, entering UCAS/UK conditions is now done via the dedicated Conditions field (not the Notes field) when an application result is set to Conditional Offer.

Conditional Offer Tracking in Cialfo

Cialfo allows counselors to record and manage conditional offer requirements directly within the Applications section.

When an application's Result is set to Conditional Offer, two additional fields appear:

  • Condition categories

  • Conditions


These fields allow counselors to document the specific requirements students must meet to secure their admission.

Access & Permissions

Conditional offer details can be viewed and kept updated within the Applications section by Admins, Counselors, and Students, ensuring the student's offer requirements remain accurate, visible, and up to date for everyone involved in the application process.

Note: Conditional offer tracking is available for submitted applications. Manual updates can only be made for applications submitted via UCAS or the 'Other' delivery method. For Common App and Direct Apply (UK-DA and DA), the Conditional Offer result cannot be added or edited manually.

How to Add Conditional Offer Details

Follow below steps to record offer conditions:


Step 1: Set Result to "Conditional Offer"

To begin, navigate to the student's Applications tab and locate the student’s submitted application. Under submitted applications update the Result field by selecting "Conditional Offer" from the available options.


Once selected, the "Condition Categories" and "Conditions" fields will appear.


Step 2: Select Condition Categories

The Condition Categories field allows you to classify the type of requirement. Multiple categories can be selected at the same time from the drop-down menu.

Updated category names (effective March 2026): The following category labels were renamed to better reflect their purpose:

  • Subject Requirements (previously "Subjects")

  • Language Requirements (previously "Language")

  • Overall Score (unchanged)

  • Full Conditions (previously "Overall Conditions")

These updated names are now reflected across the platform and in all reports.


Step 3: Add the Offer "Conditions"

To add conditional offer requirements, click on Add Conditions, which will open a text box. Enter the university’s conditional offer requirements in the provided space, and then click Save. Once saved, you can access the details anytime by clicking on View Conditions, where you can also review or update the conditions if needed.

Important for UCAS/UK applications (March 2026 change): Previously, counselors entered UK/UCAS conditions in the Notes field on the Applications page. Following the introduction of the dedicated Conditions field, UK/UCAS conditions must now be entered in the Conditions field (visible when the result is set to Conditional Offer). If you had previously entered conditions in Notes for the Class of 2026, please re-enter these in the new Conditions field to ensure data accuracy and visibility.

Tracking Condition Fulfilment with Flags

Two flags are available in the Flags section to track whether a student has met their conditions:

  • Conditions Met

  • Conditions Not Met


These flags allow counselors to quickly signal the status of the offer without needing to review the full notes. Students cannot update these flags in their application.


By categorising conditions and marking them as met or unmet, counselors can easily track student progress and manage offers efficiently.

Frequently asked questions

Can I still use the Notes field for UCAS conditions?
Yes, the Notes field remains fully functional. The Conditions field is simply a more structured option for managing offer conditions going forward.

Where do I find the Conditions field?
The Conditions field appears within the application record on the Applications page, alongside the existing Notes field.
