Introducing a quick way for counselors to upload the UCAS Application Report into Cialfo!

With a bulk uploader for applications and results, you will be able to get all the information related to your students’ applications sent via the UCAS portal easily imported into Cialfo. This will make application tracking and management on Cialfo a lot easier and more efficient.

Step 1: Download the UCAS Application Report

Information within this file will include the students' profile information, including first and last names, dates of births, and email addresses, and also their application information, including provider codes, course codes, and the relevant choices, decisions, and responses. All these information can be mapped with your students' data in Cialfo.

Step 2: Navigate to Cialfo's Bulk Upload page

Upon logging in, click on your profile menu in the top right corner of the screen, then navigate to 'Bulk Upload'.

When prompted of your choice of uploader, select 'Import student data'.

Step 3: Upload the UCAS Application Report

You may choose to drag and drop the file in directly, or alternatively, select anywhere within the uploading box to browse and select from your computer files.

Step 4: Configure your upload

At this stage, the bulk uploader will ask about your data to know how to process your data accurately. Based on your configuration, this will affect how the uploaded data will appear on Cialfo.

First, choosing the appropriate bulk uploader. Select the option for 'Application History'.

Next, decide how the data should be uploaded. Based on the application data available, the bulk uploader will try to detect if students already have similar applications that exist on Cialfo. This setting lets you control what happens based on that discovery.

Option 1: Add New Applications and Update Existing Applications (Recommended)

Any similar applications found will be categorized as 'Existing Applications', and you may choose to update them accordingly to the latest information found on the uploaded file or leave them as is. Where similar applications cannot be found, a new application will be created.

Option 2: Add New Applications Only

Regardless of whether similar applications are found, every application on the uploaded file will be created as new applications for students.

Note: This may cause duplicates, proceed with caution.

Option 3: Update Existing Applications Only

When similar applications can be found, you may choose to update them accordingly to the latest information found on the uploaded file or leave them as is. The rest of the data where similar applications cannot be found will be ignored.

Step 5: Review your upload

Depending on the configuration of your upload, you may see up to 3 sections to review the uploaded date.

Errors: This shows where there are missing or invalid data that cannot be uploaded

New: This shows all new applications that will be created for students

Existing & Update: This shows any existing applications that were found

❗️Within 'Existing & Update', ensure you turn on the toggle for 'Update the data for the existing entries' if you wish to update applications with information from the uploaded file.

Step 6: Finish Import

Last but not least, confirm by selecting 'Finish Import'. Voila!
