Registering Guardians/Parents on Cialfo

Preparing to launch Cialfo with Parents and Guardians? This is where you can learn about various options & functionality!

After guardians are uploaded into your school's Cialfo account, there are two methods for sending registration emails allowing access to Cialfo.

Method #1

Use Bulk Actions to send registration emails to all guardians or only to those with a relationship to a student in a particular grade level or graduation year.

  • Choose a filter if you only want to send it to a specific grade level or students assigned to a particular counselor, etc.

  • Select all or at least one student, then bulk actions will appear, choose the action from the dropdown menu

Method #2

Manually send guardian registration emails for individual students/guardians.

  • Search for the student associated with the Guardian in the Students List

  • When looking at a student's account, select 'Contacts' under Profile

  • Select > "+ Add" > enter the required (*) information

  • Check the "Enable Guardian Account" field and hit "Save"

  • A green banner saying "Contact Updated Successfully" will show on the top of your screen and a registration email will be sent.

Troubleshooting: Error When Assigning a Student to a Guardian

If you see a "Something went wrong" error when clicking Assign after selecting a student to assign a guardian, this is usually caused by a temporary backend issue when a guardian account has been created very recently and you immediately try to assign a student to it. In such cases, the system may not have fully processed the new guardian record yet, which can result in an assignment error.

How to resolve it?

  • Refresh the page and try the assigning the counselor again

  • Confirm that the guardian account has been fully activated (for example, the error no longer appears on the screen)

  • If the issue continues, please contact Chat with Cialfo and share both the student and guardian email addresses for further investigation
