The Grades section of Cialfo was created largely to support GPA calculation for those schools that do not calculate a GPA. By entering a student's high school courses and grades in this section of the platform, a simple "Estimated GPA" will be calculated and that will enable a student to use the Scattergram features in Cialfo.
To view/edit a student's grades and school curriculum, simply search for the needed student under the Students List page, click on their Profile and scroll down to the Grades section and click on the "Edit" button.
Under the individual Grade levels, you will be able to input more details under the following sections:
Academic system
Subjects
Transcripts (please add a single entry under the Subjects section in order for the 'Upload Transcript' button to appear)
Common Issues & Troubleshooting
1. Page keeps loading when saving grade or graduation year changes
Why this happens: This may occur due to temporary validation or system processing issues.
What you can do: Refresh the page and try saving the changes again. Please make sure that the student's phone number is added in the correct format. If the issue continues, please contact Cialfo Support.
2. Unable to upload transcript or file to the Grades section
Why this happens: This can happen due to temporary network or configuration issues during file upload.
What you can do: Try uploading the file again after refreshing the page. If you encounter a persistent upload failure in the Grade section, generate a HAR file and check for a 403 Forbidden response. If found, contact Cialfo Support with the HAR file attached.
3. Page becomes unresponsive after clicking "Save Changes"
Why this happens: This may occur due to temporary issues while processing updates.
What you can do: Perform a hard refresh (Ctrl+Shift+R or Cmd+Shift+R) and try again. If the issue persists, please contact Cialfo Support.
4. Grade-related prompts or alerts not appearing on the dashboard
Why this happens: These prompts may appear when required academic information is missing or needs to be updated.
What you can do: Review and complete the required grade or academic details as prompted on the screen.
5. Warning message about academic system selection (Grade 12)
Why this happens: This may appear if the selected academic system cannot be matched to a recognised curriculum.
What you can do: Select the most appropriate academic system from the dropdown. If you cannot find a match, choose "Other".
6. Differences in grade input formats (e.g., decimal values) between Onboarding and Profile
Why this happens: This may occur if grade formats were previously entered differently across sections.
What you can do: Ensure that grades are entered in the correct and consistent format across all sections.
Improvements and New features:
Historical Change Logs for Student Total Grade
A new historical logging feature has been added for the Total Grade field in student profiles. Whenever a student’s Total Grade is updated, the system now automatically records:
Who made the change.
When the change was made.
The updated Total Grade value.
This creates a complete audit trail for the Total Grade field.
Why this matters
Previously, there was no visibility into past updates made to a student’s Total Grade, making it difficult to investigate discrepancies or track how grades changed over time. With this enhancement, counselors and administrators now have better transparency and accountability for grade-related updates.
How to access the change history
The Total Grade change history can be viewed directly within the student’s grade profile. Look for the history or audit log indicator next to the Total Grade field.
