Activity Feed is a central tool designed to help counselors stay on top of critical activities and updates related to student applications, documents, and other key activities. It enables counselors to efficiently monitor application submissions near deadlines, track document preparation and sending, and manage other student activities, such as onboarding and follow-ups, that require attention.

What are the key features and benefits of Activity feed ?

  • Stay Updated: Stay informed about all relevant activities happening on the platform.

  • Prioritize Activities: Receive prioritized updates for pending applications and documents nearing deadlines to ensure timely completion.

  • Quick Action: Take one-click action to complete tasks linked to each feed item.

  • Student Reminders: Ability to send reminders to students, ensuring timely completion of their to-dos.

  • Guided Steps: Access clear, step-by-step instructions to efficiently complete applications and workflows.

How to use Activity Feed?

  1. On your main dashboard, you will be able to view a card named "Activity feed".

  2. You can click on "View all activity".

  3. On this page, you will be able to view all pending work that is required.

  4. You can send reminders to students for various activities individually and in bulk.

  5. You will also be able to view the checklist required for students pending application and their status will be marked under "Completed & Pending"

We've launched the first nine activity feeds, with more feed types to be added in future releases.

1. Onboarding Activities:

The Onboarding Activities Feed provides counselors with updates on students who need to complete key onboarding steps, such as the onboarding quiz. This feed specifically targets Grade 12 students with active accounts who have not yet completed their onboarding quiz, including those who have not finalized their registration. To ensure timely follow-ups, reminders are automatically sent at the end of each month from August to January. These reminders help counselors keep track of students’ progress and ensure that all necessary onboarding steps are completed before critical deadlines.

2. Teacher recommendation requests :

The Teacher Recommendation Requests Feed is designed to help counselors ensure students send requests for letters of recommendation to their teachers or counselors in a timely manner. This feed generates reminders for counselors at key intervals: 15 days, 7 days, 5 days, 4 days, 3 days, 2 days, and 1 day before the relevant Common App (CA) deadlines, including Early Decision (Nov 1), Early Action (Nov 15), Regular Decision (Jan 1), and the Oct 15 deadline.

The reminders only include a list of relevant students who:

  1. Have CA applications listed in their "Applying" section.

  2. Are applying to universities that require recommendations.

  3. Have not yet sent any teacher recommendation requests.

Additionally, this feed is only visible to schools that have enabled the Common App integration, ensuring counselors receive accurate, targeted updates for actionable follow-ups.

3. Cialfo Guide Activity Feed:

The Cialfo Guide Activity Feed allows counselors to efficiently manage student requests for Cialfo Guides. If there are outstanding approval requests, the feed will notify counselors daily to ensure timely action. The feed only includes students who have submitted Cialfo Guide requests and is visible only to schools with a partial engagement policy, where administrators require counselor approval before students can engage with Cialfo Guides.

Counselors have the following options when managing these requests:

  1. Approve for this student: Approve the request for the specific student.

  2. Approve for this and future students: Automatically approve all future requests from students.

  3. Reject for this student: Deny the request for the specific student.

This feature streamlines the approval process and ensures that counselors can maintain control over student engagement with Cialfo Guides.

4. Common App Application Not Submitted Feed:

The Common App Application Not Submitted Feed helps counselors monitor students who have not yet submitted their Common App applications. This feed sends reminder notifications to counselors 15 days and 7 days before the relevant Common App deadlines (Oct 15, Early Decision Nov 1, Early Action Nov 15, Regular Decision Jan 1).

The feed only includes students who meet the following criteria:

  1. Their Common App account is linked to Cialfo, and the application is present on both platforms.

  2. They have a Common App application listed in their "Applying" section.

  3. They have not yet submitted their Common App application.

The reminders are sent based on the relevant application deadlines for each student and are only shown to schools that have enabled the Common App integration, ensuring counselors receive the most accurate and actionable updates for follow-up.

5. Common App Initial Documents Not Sent Feed:

The Common App Initial Documents Not Sent Feed is designed to notify counselors about pending initial documents required for student applications. This feed sends reminders 15 days and 7 days before the relevant Common App deadlines (Oct 15, Early Decision Nov 1, Early Action Nov 15, Regular Decision Jan 1).

The feed includes only relevant students who meet the following criteria:

  1. Have a Common App application listed in their "Applying" section.

  2. Are associated with schools that have enabled the Common App integration.

  3. Have initial documents still pending submission by the counselor, including the School Report (which may include Initial Transcript and Transfer Transcript) and the Counselor Recommendation.

These reminders ensure counselors have adequate time to complete and send required documents, helping students meet critical application deadlines.

6. UK-DA Application Submission Reminder Feed

The UK-DA Application Submission Reminder Feed helps counselors ensure students submit their UK-DA applications on time. This feed sends reminders 15 days and 7 days before key deadlines, including the Oxbridge deadline (October 14, 2024) and the Early Consideration Deadline (January 28, 2024).

The feed includes only relevant students who meet the following criteria:

  1. Have UK-DA applications listed in their "Applying" section.

  2. Have applications that are not yet submitted to Cialfo.

  3. Are associated with schools that have enabled the UK-DA feature.

By focusing on pending submissions, this feed provides counselors with actionable insights, enabling them to remind students effectively and help them meet their application deadlines

7. Application Submitted for Counselor Review Feed:

The Application Submitted for Counselor Review Feed ensures counselors are promptly informed about student applications requiring their review. This feed is sent every Monday at 8 AM local time and includes both newly submitted applications and any previously pending review activities. Additionally, daily reminders are sent starting 15 days before key deadlines, including the Oxbridge deadline (October 15, 2024) and the Early Consideration Deadline (January 29, 2024), continuing until two days after these deadlines.

The feed only includes students who have submitted their applications for review and is visible exclusively to schools that have enabled Direct Apply (DA) and UK-DA features. By consolidating all review-related tasks, this feed helps counselors stay organized and ensure timely application reviews.

8. UK-DA Documents Not Sent Feed:

The UK-DA Documents Not Sent Feed helps counselors track and send pending documents required for UK-DA applications, such as Letters of Recommendation (LOR) and Predicted Grades. This feed sends daily reminders starting 15 days before key deadlines, including the Oxbridge deadline (October 14, 2024) and the Early Consideration Deadline (January 28, 2024). Reminders are sent on the 15th, 7th, 5th, 4th, 3rd, 2nd, and 1st days before each deadline to ensure timely action.

The feed includes only relevant students who:

  1. Have submitted UK-DA applications.

  2. Still have outstanding documents (LOR or Predicted Grades) that have not yet been sent.

  3. Are associated with schools that have enabled the UK-DA feature.

This feed provides counselors with actionable reminders, ensuring all necessary documents are sent in a timely manner to support successful student applications.

9. Students Received Follow-Ups Feed:

The Students Received Follow-Ups Feed is designed to notify counselors about students who have received follow-ups and require urgent responses. This feed is sent based on the interval configured by the counselor, which can be set to 1 day, 7 days, or 15 days.

The feed includes only those students who received follow-ups within the specified interval, ensuring timely and relevant notifications. It is visible exclusively to schools that have enabled Direct Apply (DA) and UK-DA features. By providing a concise list of affected students and the number of follow-ups received, this feed helps counselors prioritize their responses and ensure all follow-ups are addressed promptly.
